The volume that clogs the front desk

At clinics, dental practices and healthcare providers, a large share of contact covers the same topics: opening hours, waiting times, reimbursements, location and rescheduling appointments.

None of that is medical. But it still takes up the attention of staff who are helping patients at the desk at the same time.

What chat can and can't handle

The line here is sharp, and needs to stay that way:

  • Yes: practical information, waiting times, costs and reimbursements, booking or rescheduling appointments, preparation guidance.
  • No: medical advice, results, or anything requiring identification — refer those to a secure channel or a phone call.
  • Always: agree in advance which details may and may not be shared in chat.

Privacy and data protection

Apply data minimisation: only ask for what's needed to answer the question. Set retention periods, put a data processing agreement in place with every party that can see conversations, and train everyone staffing the chat on what not to ask.

What it delivers

Practices using chat mainly notice the calm it brings: fewer calls about repeat questions, shorter queues at reception, and patients booking their appointment in the evening rather than calling first thing the next morning.
